Why do we need to submit a roster?
GSHPA Council requires us to submit a master roster for certain community run events.
Additionally, we have found that requiring rosters eliminates most registration problems. By asking for names and levels we can verify that scouts are properly registered and no one is registered twice.
Who needs to be on my roster?
Check your event description for event specific instructions. Unless the event details explicitly state otherwise, everyone must be on your roster.
If they will be on the camp property with your group, they need to be on your roster. Babies, grand parents, siblings, etc. If they are a person and are at camp, they need to be on your roster. If you show up at camp with extra people, they may be asked to leave.
I’m a troop leader with multiple troops.
If you are a troop leader with multiple troops, you can put booth troops on the same roster.
I have a sibling/friend/scout/etc who wants to come but there is no ticket options for them.
If there is not a ticket type for that person, please contact event coordinators to find out if it is appropriate for the individual to attend the event. Not all events are able to accommodate all scout levels or tag-a-longs or the event may be full.
If you show up with extra people, they may be asked to leave.
Can I save my roster without submitting it?
YES!
All changes you make to your roster are automatically saved. You add or remove people until registration for the event closes. Adding a person to your roster will reserve a space for them.
Who can see my roster?
Event coordinators and site administrators.
Allergy and special restrictions will be shared as necessary to ensure the safety and comfort of all participants. If your participants do not have a media-release, we will need to notify other event participants in order to honor the request.
Participant names, troops, and ages / grade level may be shared with other participants as necessary.
We will not share your roster with outside organizations other than the GSHPA council and, if necessary, emergency responders.
